PATH Accounting Associate Job Vacancy in Kenya

Path is seeking an experienced Accounting Associate to manage the following responsibilities:

Perform monthly desk audit to ensure accuracy of Field Office Financial Reports (FOFRs)

  • Coordinate FOFR processing for assigned sites; work with staff in assigned field office/s to resolve all Financial Management/Operations questions.
  • Review exchange rate calculations and revise as necessary for compliance with PATH policy.
  • Approve bank account reconciliations and monitor outstanding payments.
  • Review documentation, investigate unusual transactions and correct errors or omissions to ensure compliance with PATH policy.
  • Request clarification or additional documentation on questionable items.
  • Advise field office financial staff of changes made to FOFRs; provide explanations and instructions as necessary.
  • Coordinate with Agreements Team to ensure proper recording of sub-agreement and sub-contract transactions.
  • Monitor all outstanding requests to/from field office/s to ensure all issues are fully addressed.
  • Answer questions and provide information to field and program staff on FOFR-related policy and procedures.
Participate as team member to improve efficiency of systems, support opening/closing offices, and train field office staff
  • Design/implement and evaluate/improve internal control systems and processes using tools such as flowcharts, process documentation, etc.
  • Assist with lease, bank accounts, and other facilities-related services set-up.
  • Conduct training on proper financial processes including segregation of duties, procurement authorization and thresholds, transaction documentation, cash handling, and related internal control practices and procedures.
Ensure that labor information from field office/s is recorded accurately
  • Review and analyze labor reports from field office/s, make corrections as needed.
  • Export corrected data to Payroll for labor database; compare totals with GL posting and resolve discrepancies.
  • Complete quarterly reviews of field office salary data to ensure changes have been captured by HR.
Complete quarterly reconciliation of assigned GL accounts for field office advances, taxes, deposits, loans, etc
  • Review account activity and balances for accuracy and reasonableness.
  • Research errors and stale items; prepare correcting entries as needed so balances are accurate and current.
  • Analyze exchange gains/losses and properly assign expense or recommend write-off.
Research and prepare journal entries for reclassification of expenses, as needed

Maintain current documentation of policies and procedures for assigned areas of responsibility.

Participate in annual audit process, preparing work-papers and schedules as assigned.

Required Skills

Applicant must have the following qualifications/skills:
  • Knowledge of USAID regulations particularly OMB Circular A-122 preferred.
  • High level of proficiency with computers and must have strong skills in MS Office software, particularly usage of complex Excel spreadsheet formulas and macros. Access databases, Solomon, and QuickBooks experience a plus.
  • Experience in multi-currency accounting and partner reporting highly desirable.
  • Superior communication skills, both written and oral. Demonstrated ability to communicate ideas effectively via e-mail, phone and in-person, with diplomacy and cross-cultural sensitivity. Experience in multi-lingual environment a big plus.
  • Experience in developing, conducting and facilitating training activities
  • Proven ability to balance multiple competing demands, maintain attention to detail, and consistently meet deadlines under time pressure.
  • Effective in working independently as well as have strong ability to collaborate as a member of a team from a different geographical location.
  • Able to read and speak French is desirable.
Required Experience

Applicant must posses the following experience:

Minimum 3 years broad accounting and/or audit experience and demonstrated strong capabilities in the in the following areas:
  • General accounting systems/processes and internal controls implementation
  • Complex bank account, receivable, payables and other GL accounts reconciliation
  • Payroll processes and related government reporting.
Minimum of two years experience working for international organizations;not-for-profits a preference.

Undergraduate degree in accounting or related field. CPA highly preferred.
