Supported by the Consultative Group on International Agricultural Research(CGIAR), the International Centre for Tropical Agriculture (CIAT) is anon-profit organization that conducts socially and environmentally progressiveresearch aimed at reducing hunger and poverty and preserving natural resourcesin developing countries.

The Tropical Soil Biology and Fertility research area of CIAT (CIAT-TSBF)operates as an integral part of the CIAT research areas and is housed at theICRAF Campus, Nairobi, Kenya.

The goal of CIAT-TSBF is to contribute to human welfare and environmentalconservation in the tropics by developing adoptable and suitable soilmanagement practices that integrate the biological, chemical and socioeconomicprocesses that regulate soil fertility and optimize the use of organic andinorganic resources.
Position Summary

The International Centre for Tropical Agriculture (CIAT) is recruiting for theposition of Accounts Clerk to be based at its site office in Maseno, WesternKenya.

The position will report to the Site Coordinator in Maseno.

The Accounts Clerk will have the responsibility of providing timely andefficient accounting support to staff of the CIAT-TSBF office in Maseno,Western Kenya.

The Accounts Clerk will work very closely with the Project Accountant assignedto the Maseno office to ensure that accounting processes flow in a smoothmanner; ensure timely reporting of expenditures to the Nairobi office andproper filing and retrieval of accounting documents.

Main Responsibilities

1. Payment Processing: Maintain an efficient and effective payment processingschedule; scrutinize incoming invoices and demand notes for legitimacy, analyzeand journalize invoices as appropriate; prepare payment vouchers and ensureproper filing of financial and accounting records for easy retrieval.

2. Monthly Analysis of Accounts Payable and Receivables: Conduct a monthlyreview of balances; follow up to clear overdue payments by initiating paymentprocess; track receivables, raise invoices and manage billings as necessary.

3. Cash and Accountable Documents Management: Ensure safe custody of CIAT’scash and accountable documents; ensure legitimacy of petty cash payments withinthe context of CIAT accounting policies and procedures; receive bank depositslips and notifications for all payments deposited to the bank and issuance ofofficial receipt to acknowledge.

4. Monthly analysis of Expense accounts: Ensure adjustments are made wheneverinconsistencies are noticed.

5. Travel legalisation: Track the process of accounting for travel advancesaccording to the CIAT Travel Policy .

6. Web Journals Data entry: Capture data from payment and adjustment vouchersinto the Web Journals system on a daily basis.
Requirements

Should have attained a minimum of CPA II
At least two (2) years of relevant work experience in a closely related fieldgained in an international organization
Demonstrate high level of integrity and respect for confidentiality
Strong ability to prioritise and organize workload; take initiative and workunder pressure
Must be able to work independently with minimal supervision, but alsoparticipate as a team member in accomplishment of duties.
Good oral and communication skills
Good computer skills, including knowledge of one of the accounting software andability to learn new applications quickly
